COVID-19 Information

AHCA requires all Spring Convention and Trade Show attendees to be fully vaccinated or in possession of an approved medical or religious vaccine exemption form that is compliant with CMS vaccination requirements for long-term care facilities.

Attendees should be prepared to provide proof of COVID-19 vaccination to AHCA staff at any time during the Spring Convention and Trade Show.  Acceptable proof of a COVID-19 vaccination includes a CDC vaccination card, a photocopy of the card, or a photo of the card on a mobile device.

Attendees should be aware that, while AHCA and its Spring Convention and Trade Show partners will make every effort to reduce the risk of COVID-19 transmission on site, it is possible that attendees will come in contact with attendees who could potentially carry the virus, which is why AHCA is requiring attendees to be fully vaccinated, or take additional precautions, for their own safety as well as the safety of others.

Subletting of Space – Subletting of space is not permitted. Two or more organizations may not exhibit in a single 10’ x 10’ booth. Booth reservations will be confirmed only upon receipt of payment. Exhibitors agree to submit full payment with this Trade Show Booth registration. No cancellation of space contract will be accepted, or refunds made after April 18, 2023. Exhibitors agree to abide by all requirements, and obligations explained in the promotional material. It is understood that all requests to exhibit are subject to the approval by the Arkansas Health Care Association. Exhibitors agree to release, defend and hold harmless AHCA and their agents and employees from and against any and all losses, cost, damage, liability, or expenses (including any attorney’s fees) arising out of or resulting from any accident, bodily injury, property loss or damage/potential damage of the occurrences to any person(s) including the exhibitor’s use and occupancy of the exhibit area at the Hot Springs Convention Center or any part thereof. By registering for and/or attending the event, Exhibitors acknowledge and agree that photographs, video, and other recordings of the event may be taken by AHCA or parties acting on behalf of AHCA, and that these photographs, video, and other recordings may be used by AHCA in any media now known or later invented for any purpose related to AHCA’s mission, including educational, promotional, and awareness related uses. Exhibitors give to AHCA unlimited permission to use name, likeness, image, statements, and other information given to AHCA, whether through registration, at the event, or otherwise, that may be necessary for AHCA to make use of its rights in the photographs, video, and other recordings.
