GENERAL ATTENDANCE FAQ

 

COVID-19 GUIDELINES FOR ONSITE DURING THE FORD MDA ANNUAL MEETING:

While onsite at the Ford MDA 2022 Annual Meeting in Carlsbad, we will be abiding by the guidelines set in place by the State of CA and the Park Hyatt Aviara Resort at the time of the program. Currently, there is no Mask mandate or Vaccine requirements for guests at the Aviara Resort, but if this changes prior to the start of our program, Ford MDA will abide by any guidelines that are put in place to allow us to host our program.  Notifications will be sent out of any changes to this policy. 

Our guests are welcome to wear Masks and we expect that all guests will respect the choices and comfort level of one another if they choose to do so.  Masks will be available at the Ford MDA Registration Desk if needed.  

We will also ask that any guest that feels any symptoms of COVID-19 or any other illness, or knows that they have been recently exposed to someone who has tested positive for COVID-19, excuse themselves from the program, or if already onsite, quarantine themselves in their Hotel room and notify the Onsite Meeting staff to discuss next steps. Symptoms include but are not limited to fever, cough, body ache, sore throat, fatigue, new loss of taste or smell or any feeling of being unwell.

Rooms must be reserved before Tuesday, April 18th or room rates may increase.

 

WHAT IS THE DRESS CODE FOR THE CONFERENCE?

Dress will be business casual. If you are participating in Golf on Saturday, golf attire is appropriate.

WHAT HAPPENS IF THERE IS A SCHEDULE CHANGE?

Any schedule changes will be communicated to all attendees as early as possible. Small changes may be made to the agenda as it gets finalized but they should not affect your travel or participation in the event. 

WHAT MEALS WILL BE SERVED AT THE CONFERENCE?

Starting on Thursday, May 12th, Lunch, afternoon break and a Welcome Dinner will be available.  On Friday, Breakfast, Lunch, Dinner and Breaks will be provided. On Saturday morning, breakfast will be available. 

DO MEETING ROOMS HAVE WIRELESS INTERNET?

Yes, all sleeping rooms and meeting space at the Aviara Resort have basic wireless internet.  In the sleeping rooms, you will access the internet using your room number and your last name. If you need increased bandwidth (such as for streaming HD Video) it will be available from Aviara Resort for an additional daily cost.

REGISTRATION & HOTEL ROOMS

All Vendors who will be attending the meeting must register for the meeting, and book your hotel rooms individually.  We have a separate link for both of those actions:

ONSITE BOOTH SETUP

The Vendor booths will be onsite in the Avalon Room on the first floor level of the Aviara Resort meeting space.  You can access the room to set up your booth Wednesday, May 11th. As part of your membership benefit, each vendor will be supplied a 6ft. skirted table and you are allowed a backdrop with the same circumference width wise.  You can begin to break down on Friday evening or Saturday morning if you don’t plan on playing golf or participating in our Saturday Activity onsite. We will leave that up to you.  

SWAG

All vendors are requested to send supplies for 160 SWAG bags. All shipments must be sent as follows:

HOW MANY PEOPLE ATTENDED THE LAST IN PERSON EVENT? 

100 pp.  

IS THERE ANY PLAN TO CANCEL THE EVENT OR GO VIRTUAL DUE TO COVID? 

No.  There is no plan to do this meeting as a Virtual Event. If anything happens and we are forced to cancel, all attendees would get a Credit for 2023.

WILL WE RECEIVE PRE AND POST SHOW ATTENDEE LIST? 

Yes, upon request when info is available.  If you would like to communicate with Dealers before the show, we recommend you download the App.  

WHEN THE BOOTH REPS GET ON SITE TO SET UP THE BOOTH, WHERE WILL THEIR PACKAGES BE? 

Booth Reps will need to go to the desk of the hotel Business Office to pickup their packages. 

ARE ANY RAFFLE PRIZES BEING DONE/ ANNOUNCED AT THE SHOW OR CAN WE DO THEM RIGHT AT OUR BOOTH?

Vendors can choose to do raffles at their booths. 

AT THE END OF THE SHOW, HOW DO BOTH REPS SHIP BACK THEIR PACKAGES?

Booth reps will have to bring all shipments to the Shipping Office onsite and the Aviara Resort.  They have a Business Center that accepts UPS & Fed Ex packages. See Dee Suber if you have any other questions.
